Conversational AI for Business: A Practical Implementation Guide

Published 2026-09-10 · Hatty AI

How to plan and implement conversational AI for lead capture, customer service, appointment booking, and internal workflows without creating a disconnected chatbot.

Start with one measurable conversation

Choose a specific business outcome such as qualifying inbound leads, answering a defined set of support questions, booking appointments, or routing requests. A narrow first workflow is easier to test, improve, and govern than a bot that tries to answer everything.

Connect approved sources of truth

Define the knowledge, CRM fields, calendars, policies, and systems the assistant may use. Separate retrieval sources from actions so the assistant can answer safely even when an external system is unavailable.

Design escalation before launch

The assistant should know when to hand the conversation to a person, what context to pass along, and which situations always require human review. Escalation is a core feature, not a failure state.

Measure the full funnel

Track conversations started, questions resolved, leads qualified, appointments booked, handoffs, abandonment, error rate, and downstream conversion. This shows whether the assistant improves business outcomes rather than simply generating messages.

Improve from real conversations

Review failed searches, misunderstood questions, poor handoffs, and missed conversion opportunities. Use those patterns to improve content, prompts, integrations, and guardrails over time.
